Create & Manage the Extensions

The Extensions helps you control how calls are routed within your organization by assigning phone extensions to employees and departments. You can create, edit, or delete extensions in the system.

Follow the step-by-step guide below to manage the extensions on the TAAX Pro platform. 

Create the Extension

Set up a new phone extension by assigning it to an employee and department, selecting a number type, and defining the extension code, helping streamline call routing and communication within your organization.

Step 1: Navigate to the left side panel, hover over the “Virtual Phone” section, then click on the “Manage Extensions” option.

Step 2: The Manage Extension screen will appear, showing a list of all existing extensions in the system. To add a new extension, click the Create Extension button and proceed with entering the required details.

Step 3: A modal window will appear at the top of the screen, prompting you to enter the new extension details The required details are described in the table below.

Field NameDescription
Assign to EmployeeSelect the employee who will be assigned this phone extension.
Assign to DepartmentChoose the department this extension should be linked to (e.g., Sales, Support).
Number TypeSpecify whether the number is internal or external.
Phone NumberEnter the phone number to be used with this extension.
Extension CodeSet a unique extension code (e.g., 104) to route calls to this employee.

Step 4: After entering the extension details, click the Create Extension button to save the form.

Once you have successfully created an extension, it will be viewed in the Manage Extensions screen.

Edit the Extension


You can update an existing extension’s details, such as the assigned employee, and phone number, to keep your communication settings accurate and up to date.

Step 1: Navigate to the left side panel, hover over the “Virtual Phone” section, then click on the “Manage Extensions” option.

Step 2: The Manage Extension screen will appear, displaying a list of all existing extensions in the system. To edit an extension, click the Details button next to the desired entry.

This will expand the extension details panel. From there, click the Edit button to make changes to the extension information.

Step 3: A modal window will appear at the top of the screen, prompting you to changethe details of the extension. Update the details in the form to proceed. The required details are described in the table below.

Assign to EmployeeSelect the employee who will be assigned this phone extension.

Step 4: After updating the extension details, click on the Update Extension button to save the form.

Once you have successfully updated an extension, it will be viewed in the Manage Extensions screen.

Delete the Extension

You can remove an extension that is no longer needed, helping you keep your communication system clean, organized, and free of unused entries.

Step 1: Navigate to the left side panel, hover over the “Virtual Phone” section, then click on the “Manage Extensions” option.

Step 2: The Manage Extension screen will appear, displaying a list of all existing extensions in the system. To edit an extension, click the Details button next to the desired entry.

This will expand the extension details panel. From there, click the Delete button.

Step 3: A confirmation modal window will appear at the center of the screen, asking you to confirm the delete process. Click the “Yes, delete it!” button to remove the extension from the system.

Once you have successfully deleted an extension, it will be removed from the Manage Extensions screen.
